Private and corporate email addresses
When e-signing HR documents, it is important to distinguish between communications to corporate and private email addresses.
When an individual is signing as an authorized representative of the employer, the work email address is typically used for signature prompts. He or she should not have access to it after leaving the company.
If a person is signing in the role of an individual employee, his or her private email address is typically used for signature prompts. After leaving the company, he or she retains access to all documents.
Access to workspace in Signi
From the perspective of access to Signi or workspace - workspace with HR documents:
Signi account and access to the workspace must be granted to those who prepare HR documents.
It is not necessary for individual employees, of which there may be thousands, to have access to the Signi account. They will always sign as counterparties. They can then sign each document from a unique link to sign that document. If they make an account on Signi ta, they just get FREE access to a folder of all documents that someone else has sent them to sign.
Individual managers may or may not have a Signi account and access to the workspace, sometimes they just need to be listed as counterparties in the "Of Note" role, for example. Other times they need to have access to the workspace in the "Approvers" role , so that they can sign a document with an employee on the same device/location.
